Job Description

The David and Lucile Packard Foundation (Foundation) is a family foundation that is guided by the enduring business philosophy and personal values of Lucile and David Packard, who helped found one of the world’s leading technology companies. Their approach to business and community participation has guided our philanthropy for 50 years. Today, their children and grandchildren continue to help guide the work of the Foundation. The Foundation makes grants at the local, state, national, and international level and is located in Los Altos, CA.

A staff of 120 conducts the day-to-day operations of the Foundation and a Board of Trustees oversees the work of the Foundation. Human Resources Team
We are a small and cohesive team who work to ensure that we provide effective and efficient human resources support to staff. We work to communicate clearly and ensure that we offer competitive, relevant, and strong benefits and compensation. We work to back each other up and provide reliable
and accurate support.

Benefits and Administration Manager
We seek an experienced and flexible contributor to be a part of the HR team as we support and serve the Foundation. We offer a high quality and generous benefit package to employees while being good stewards of the Foundation’s assets. As the benefits and administration leader for the Foundation, you will help to create a benefits strategy, improve processes, and contribute to a number of other areas and projects. This position is responsible for overseeing compliance for the Foundation’s benefit programs and systems.

The position:
• Serves as the point person with the benefits broker to create and maintain a competitive offering of benefits, manages renewal process, plans and completes open enrollment, oversees escalation process, ensures accurate and timely 5500 reports, distributes Summary Annual Reports, reviews bills, and processes changes for qualifying events
• Keeps up to date with legislation and compliance
• Serves as a HIPAA Privacy Officer and is a contact for the Foundation’s Injury and Illness Prevention Program (IIPP)
• Performs benefits orientation for new hires and ensures accurate enrollment
• Ensures HR systems are updated and accurate
• Reviews SPDs and contracts for accuracy with legal support
• Manages worker’s compensation process, annual renewal, and required reporting
• Manages actuarial process for retirement medical plan by working with the actuary and the Controller’s Office
• Contributes to various audits and surveys
• In partnership with the HR Director, creates the benefits portion of the annual Compensation Committee materials and provides updated reports and information
• Schedules various employee HR education seminars by external presenters
• Ensures benefit and related materials are updated, communicated, and posted to the Foundation’s intranet as needed
• Supports the ERISA Committee on assigned projects, takes and distributes minutes
• Coordinates the Foundation’s staff compensation program: job evaluations and descriptions, annual merit and spot award programs, surveys
• As part of a small HR team, learns and backs up other HR functions such as payroll and/or recruiting
• Completes projects as needed

Knowledge, Skills, and Experience
• Deep benefits knowledge with the flexibility and range to think strategically, audit information, and perform accurate data entry
• Knowledge of and demonstrated skill to interpret policies and legal requirements relating to human resources topics and excellent hands-on knowledge of common human resource policies, practices, and procedures
• Interest and familiarity with systems and systems set up; benefits systems knowledge to develop tables, and set up and run reports
• Working knowledge of compensation and compensation strategy
• Flexibility and skill to learn and back-up other functions such as payroll and/or recruiting
• Adept at collaborating with others in a team-based environment, work under pressure, manage tasks to completion, meet deadlines, and influence decisions in a constructive manner
• Strong understanding of complex and nuanced concepts with the demonstrated ability to write, implement, and audit information, documents, and procedures
• Must have a high level of comfort with ambiguity, strong attention to accuracy and details, and the capability and emotional intelligence to work to timely and constructive solutions
• Excellent and demonstrated judgment skills and anticipates information needed by others as situations develop
• Exceptionally strong team, project, process improvement, and presentation skills
• Excellent oral and written communication with excellent grammar and proofreading skills
• Diplomatic problem solving skills and skill and negotiation
• Strong Excel, Word, Outlook, and PowerPoint skills
• Consummate professional who protects sensitive and confidential information
• Knowledge of ADP and payroll a plus
• Interest in the work of the Foundation’s programs desired
• Sense of humor and grace under pressure a plus

Physical Requirements
Candidate must have the ability to communicate via voice telephone, read and understand written communication, and generate written communication manually and using a computer. Candidate must also have the ability to sit at a desk for 2-3 hours at a time, lift and move documents and supplies not to exceed 25 lbs., and bend to file and retrieve documents.

Education and Experience
An undergraduate degree and five to eight years of relevant work experience. MA/MS degree desired. Must have benefits program management experience.

The Foundation offers excellent benefits and a salary that is commensurate with relevant education and work experience. The position is located in Los Altos, and is full-time, and exempt.
