Full-Time Compliance Coordinator

Job Description

The David and Lucile Packard Foundation (Foundation) is a family foundation that is guided by the enduring business philosophy and personal values of Lucile and David Packard, who helped found one of the world’s leading technology companies. The Foundation makes grants at the local, state, national, and international level and is located in Los Altos, CA.

The Foundation works on the issues their founders cared about most, which are improving the lives of children; enabling the creative pursuit of science; advancing reproductive health; conserving and restoring the earth’s natural systems; and supporting and strengthening an array of local nonprofit organizations.

A staff of 120 conducts the day-to-day operations of the Foundation and a Board of Trustees oversees the work of the Foundation. For 2015, the Foundation expects to make grantmaking awards of over $300 million. Compliance Coordinator
The Compliance Coordinator joins two other coordinators who provide grantmaking programs with compliance consultation and support. The coordinators review grants for compliance with legal and Foundation requirements. This position reports to the Foundation’s legal department.
This position will to provide consultation, training, and compliance support to program staff including to:
• Learn Foundation compliance laws, policies, and procedures to effectively review and process grants
• Serves as the primary resource to programs with respect to grant compliance policies and procedures
• Develop and maintain a knowledge of programmatic strategy in order to fully assess and consult on potential compliance-related issues regarding specific grants
• Consult with programs regarding grant compliance relating to a specific program strategy and specific grant recommendations
• Identify potential compliance issues related to a grant and work directly with the program to resolve the potential compliance-related issues or, in some situations, recommend a solution to the General Counsel
• Conduct final compliance review of grants prior to approval
• Review post-award grant materials to ensure compliance with Foundation and IRS rules and regulations and in preparation for the Expenditure Responsibility schedules of the Foundation’s 990PF tax return
• Manage compliance processes and documentation including organizing and providing access to updated written procedures on the intranet
• Assist in identifying needs for program staff training and learning and assist in preparing and delivering training
• Assist with coordination of and preparation of materials for meetings
• Work effectively as a team member and back up others
• Other duties as assigned

Knowledge, Skills, and Abilities
• Interest in grantmaking compliance and one or more of the Foundation’s programs
• Ability to read and understand complex program strategy documents and materials to make informed recommendations
• Excellent written and oral communication skills; presentation skills a plus
• Familiarity with or strong interest in learning current technology applicable to grantmaking field
• Utilizes good judgment, solution oriented and constructively influences decisions
• Detailed and process-oriented
• Enjoys learning and applying knowledge, and comfortable with ambiguity
• Excellent organizational and time management skills and to meet job requirements
• Ability to anticipate information and work while meeting deadlines
• Interacts with all in a professional, courteous, culturally sensitive, and tactful manner
• Enjoys working with others on a team

• Ability to protect information of a sensitive and confidential nature
• Comfortable with technology with excellent Outlook, SharePoint, Word, Excel, and PowerPoint skills

Physical Requirements
Candidate must have the ability to communicate via voice telephone, read and understand written communication, and generate written communication manually and using a computer. Candidate must also have the ability to sit at a desk for 2-3 hours at a time, lift and move documents and supplies not to exceed 25 lbs., and bend to file and retrieve documents.

Education and Experience
An undergraduate degree or equivalent education and work experience and a minimum of three years of related work experience in areas related to grants and compliance. Experience at a grantmaking organization preferred.
