Full-Time Grant and Operations Associate

Job Description

Nonprofit Finance Fund (NFF) has been awarded a federal grant from the Corporation for National Community Service (CNCS) to administer at least $3.6 million from the Social Innovation Fund (SIF) Pay for Success program (PFS). SIF funding will be used to sub-grant funds to state and local governments and nonprofit organizations that are structuring PFS agreements and to support NFF’s knowledge sharing efforts in the PFS field. The Grant and Operations Associate is a grant-funded position that is anticipated to last between two and three years.

The Grant and Operations Associate will report to the Operations Director and provide high-level administration for a federally-funded initiative that will include pass-through funding to 12 to 20 sub-grantees selected through multiple application processes for the duration of the program. Each sub-grantee will have match-funding requirements that the Grant and Operations Associate will also monitor and report on regularly.

This position will support both NFF and sub-grantee compliance with federal requirements and progress against agreed upon grant performance targets. Data capture, tracking and reporting will be a significant function of the Grant & Operations Associate’s work ensuring compliance of NFF’s grant and sub-grant agreements with federal requirements.

The Grant and Operations Associate will be responsible for reviewing, collecting, monitoring and reporting on data including but, not limited to grant agreement and match funding compliance requirements, criminal background checks, timekeeping procedures and performance metrics for NFF and sub-grantees. The Grant and Operations Associate will also support data capture and reporting on applicants for sub-grant awards.

The Grant and Operations Associate will work closely with up to four NFF relationship managers (who will be responsible for broader relationships with each sub-grantee and the federal grant-making agency), a financial compliance analyst (who will support budget management, financial compliance of sub-grantees, and financial reporting), the grant program and compliance directors (who will be responsible for the overall execution and compliance of the grant program), and NFF’s finance, IT, and human capital staff.

The position will require minimal travel for a select number of compliance site visits to sub-grantees across the country.

Primary Duties and Responsibilities:

Specifically, the Grants and Operations Associate will:

For NFF’s federal grant and match funding:

Maintain an up to date understanding of the grant reporting requirements and formats and communicate changes to program and management staff.
Review the executed government and match-funding grants and become familiar with the specific compliance requirements for the grant and compliance procedures at NFF.
Maintain effective records/files of all grant and grants activity via Salesforce and related systems.
Work with the Operations Director to ensure that necessary systems are in place to gather all information required to meet internal and external reporting requirements.
Oversee timekeeping process and procedure for all employees working on this project.
Oversee quarterly compliance reporting and progress against performance targets to federal government agency and grant program evaluator.
Support continuation of funding applications, as required by CNCS in Year 2 of grant.

For NFF sub-grantee portfolio:

Support sub-grantee staffing and selection process, record-keeping and reporting on applications for sub-grant funding.
Support due diligence and review of sub-grantee applicants as well as preparation of sub-grant award letters and agreements.
Work with specific program staff (primarily, NFF relationship managers) and government liaisons to understand program, performance, evaluation, match-funding and compliance requirements for sub-grantees and communicate accordingly with sub-grantees and other grant tracking entities.
Organize and compile quarterly reporting on sub-grantee portfolio.
Provide technical assistance to sub-grantees on compliance, match-fund reporting and performance metric reporting.
Ensure all sub-grants are properly closed out.
Perform other duties as needed.

Essential Requirements for Education and/or Experience:

The successful candidate will possess the following:

An undergraduate degree with a focus in Business/Public Administration or a in a related field.
Minimum of at least two (2) or more years of relevant experience.
Experience collaborating with a wide range of government and nonprofit partners.
Exceptional written and verbal communication skills.
Keen attention to detail and well organized.
Strong computer skills, including demonstrated competency in Microsoft Word, Excel, and PowerPoint.
Ability to handle confidential information and/or issues where using discretion and judgment will be crucial.
Excellent customer service skills and is flexible, patient and poised in dealing with a diverse range of individuals and organizations.
Strong time management and multi-tasking abilities.
Ability to work in a self-directed manner and effectively with a team.
Demonstrated interest in impact investing and community development.

Specialized Knowledge/Beneficial Skills and Experience:

Prior experience managing or supporting compliance of federal pass-through grant programs.
Experience working in a nonprofit organization and exposure to government grants management, including a basic understanding of OMB Circulars Uniform Administrative Requirements and Cost Principles
Knowledge of Salesforce, Blackbaud-Financial Edge and other customized systems to monitor financial forecasting.
