The David and Lucile Packard Foundation is seeking a temporary Grantmaking Operations Coordinator to work at the crossroad of legal compliance and program staff and play a compliance role on complex and interesting grants. This is an exciting opportunity to be part of a dynamic team and gain experience in learning about grantmaking from a legal and compliance perspective.
Grantmaking Operations
Grantmaking Operations (GO) works to ensure effective and efficient program operations are in place in order to support the important work of the Foundation. The department is made up of a compliance team and an information management team. With respect to compliance, GO is responsible for the workflow of grant processing and ensuring that the Foundation makes legal and compliant grants.

Grantmaking Operations Coordinator Position
The Grantmaking Operations Coordinator position presents a unique opportunity for the right candidate to learn about and provide grantmaking programs with compliance consultation and support.

This position will:
• Work with a program on grant compliance policies and procedures.
• Develop and use knowledge of program strategies in order to assess and consult on potential compliance related issues related to specific grants.
• Partner with programs and Legal regarding compliance questions relating to specific programmatic strategy.
• Confer with programs to clarify understanding of grant activities, explain compliance policies, analyze facts, and draw a conclusion to recommend next steps.
• Identify potential compliance issues related to program grantmaking and either working directly with program to resolve the potential compliance-related issues or, in more limited cases, providing a recommended resolution to the General Counsel.
• Conduct final compliance review of grant files prior to approval.
• Review post-award grant materials to ensure compliance with Foundation and IRS rules and regulations and assist in preparation for the Expenditure Responsibility schedules of the Foundation’s 990PF tax return.
• Manage GO processes and procedures documentation including the organization and accessibility of all information.
• Assist with coordination of and preparation for departmental meetings.
• Assist with preparation of grant recommendation review materials.
• Perform other duties as needed.
This position will report to the Grantmaking Operations Compliance Manager.
Knowledge, Skills, and Experience
• Interest in grantmaking compliance and one or more of the Foundation’s programs
• Demonstrated ability to read and understand complex program strategy documents and specific grant materials and able to make informed recommendations
• Comfort with ambiguity and the skill to work through solutions when good judgment is required
• Ability to self-start, independently set priorities, and anticipate information needed as projects develop
• Strong interest in and capacity to learn financial and data analysis
• Detailed-oriented and accurate
• Excellent organizational and time management skills and ability to meet deadlines and requirements
• Adept at collaborating with others within a team-based environment, working under pressure, and influencing decisions in a constructive manner
• Ability to interact with all in a professional, courteous, culturally sensitive, and tactful manner
• Excellent written and oral communication skills
• Ability to protect information of a sensitive and confidential nature
• Familiarity with or strong interest in learning current technology applicable to grantmaking field
• Knowledge of grant tracking software applications including GIFTS and Access
• Excellent Excel, Word, PowerPoint, and Outlook skills
• Sense of humor and grace under pressure
Physical Requirements
Candidate must have the ability to communicate via voice telephone, read and understand written communication, and generate written communication manually and using a computer. Candidate must also have the ability to sit at a desk for 2-3 hours at a time, lift and move documents and supplies not to exceed 25 lbs., and bend to file and retrieve documents.
Education and Experience
An undergraduate degree and two to three years of relevant work experience. Legal training and/or experience a plus.
Assignment Duration and Status
It is expected that the assignment will be from July 2014 – March 2015. This position is temporary, nonexempt, and full-time. It will be payrolled through an outside company. The position is located in Los Altos, CA.
