POSITION SUMMARY:
The Grants Manager duties will include grant-related analytical input, planning, compliance and project management activities.
The position works under the supervision of the Director, Grants Management. This position provides hands-on (cradle-to-grave) management of the grant portfolio within the grants management online system (SmartSimple GMS360), working closely with colleagues and grantees to provide effective and collaborative due diligence and oversight of charitable activities (grants, direct impact activities and related contracts).
The mission of the Grants Management department is to provide effective and efficient grants management internally and externally, guiding grantees and Foundation staff through the grant lifecycle to support their successful implementation of projects, in support of HU’s mission. The department strives to promote consistent implementation of policy and procedure, flexibility, responsiveness, innovation, and collaboration in the administration of HU’s grantmaking programs.
The successful candidate is a confident, technically proficient, financially savvy, analytical, and agile problem-solver with the ability to handle several programmatic and administrative tasks simultaneously, while maintaining poise and patience. The successful candidate also has a demonstrated background in grants and nonprofit management and professional interest in both organizational portfolios.
Essential Duties and Responsibilities:
• Provide high customer service-oriented and detailed responses to grantees and program staff on questions related to HU’s grants management software
• Participate in the proposal review and risk assessment processes, with guidance from the Director, providing input into the assessment of the eligibility and grants administration capacity of prospective grantees.
• Analyze proposal budgets (particularly ER) for allowability, allocability, reasonableness and compliance with Foundation/IRS requirements.
• Work closely with the Director of Grants Management and program staff, as well as grantees, to monitor, maintain, and develop communications and grant documentation for quality and compliance of proposals, budgets, narrative and expenditure reports. May review grantee reports; draft, proofread, and review internal grant summaries and reports.
• Draft new grant agreements and amendments for review of the Director of Grants Management.
• Ensure the smooth management of grants portfolio, including timely payments, quick response to grantee inquiries and efficient problem solving.
• Assist Director in due diligence efforts including review of ER financial reports, FPCE affidavits, ER pre-grant inquiries, payment requests, and grantee audit requests.
• Maintain up-to-date grant portfolio, following up on reporting reminders and closeouts.
• Facilitate grantee’s understanding of HU’s grant proposal, reporting and audit requirements.
• Assist in the development of and maintenance of grants management policy and procedure.
• Assist in the development and customization of online grants management database and user manual.
• Monitor integrity of information in grants management database, assist with software upgrades and implementation of new modules and components.
• Serve as a member of the internal and external “help desk” for online grants management database and grantmaking process.
• Assist with creation of customized reports and dashboards (programmatic and financial).

Position Requirements:
• Superior qualitative and analytical abilities; ability to synthesize large amounts of information (technical, legal, financial, and anecdotal) and determine the most important issues and themes of any project or problem.
• Proven ability to work effectively, delivering results under tight deadlines, in a fast-paced, ever-changing and sometimes high pressure environment while driving towards clarity, quality, and constructive solutions.
• Ability to multi-task, maintain exceptional attention to detail, and proactively manage timelines and deliverables.
• Experience working with budgets paired with a passion for Excel and similar tools.
• Skilled in understanding and working with relational databases, technically skilled in Adobe Acrobat and PowerPoint.
• High standards and integrity.

Essential Skills and Qualifications:
• A Bachelor’s degree or equivalent combination of educational and work experience.
• Over 6 years of solid grants administration/management experience
• At least 4 years working knowledge of current grantmaking compliance trends.
• Experience working with international grantmaking processes.
• Strong document management and quality control.
• Creative problem solver who continually looks for new ways of streamlining processes.
• Impeccable attention to detail and demonstrated strong data analysis skills.
• Strong diplomatic, meeting facilitation, negotiation, and conflict resolution skills.
• Must have a positive attitude, good sense of humor, curiosity, resilience, and resourcefulness.
• Pleasant and effective communication skills, written and oral; and appreciation of a diverse work environment, culturally and linguistically.
