DESCRIPTION
The Institute for Agriculture and Trade policy is looking for an enthusiastic and skilled administrator, committed to working in a fast-paced nonprofit environment, professionally confident and puts a high value of excellent administration.

The office administrator ensures the smooth operation of IATP through support of the Executive Director, the Development and Communications Director, and the Director of Finance and Administration. The office administrator is a key member of IATP staff and part of a small administrative team that pitches in on everything from record keeping, to IT support, to travel booking assistance, to simply taking good care of IATP.

This is a newly defined position. Specific responsibilities will be determined in parallel with other evolving and changing position responsibilities and with the full engagement of the new Office Administrator in the job description process.

MAJOR RESPONSIBILITIES
Executive Director Support

Assist with travel arrangements and expense reports
Assist with board communication and quarterly board meeting preparation
Provide administrative and technical support related to some internal meetings as appropriate, including agenda preparation, arranging Skype and conference calls, and occasional note taking
Development and Communications Support

Assist Development and Communications staff with all fundraising activities as appropriate, including donor appeal processes; donor acknowledgement; database management; foundation proposal and report tracking and record keeping
Assist with proofreading
Finance Administrator Support

Work with Finance Administrator as appropriate to ensure separation of duties
Assist with HR functions, including hiring process
General IATP support

Help redesign and administer the IATP intern program
Take initiative and step in where you can help
IT trouble shooting
Office equipment trouble shooting
Help with IATP hospitality and event hosting

QUALIFICATIONS
Excellent communication skills
Excellent computer skills
Ability to juggle, and an affection for it
Excellent writing and proofreading skills
Excellent travel planning skills
Solid editing skills a strong plus
Minimum three years’ experience in office administration, preferably in a nonprofit
Laser-like attention to detail a must
Experience in fundraising and development a strong plus
Understanding of and commitment to IATP’s mission a plus
