Full-Time Operations Manager

Position Description:

VOICE is seeking an outstanding individual with a diverse skill set and talents to lead the operations of this fast-paced, innovative organization. The Operations Manager will be responsible for improving the performance, productivity, efficiency and profitability of programming through the provision of effective methods and strategies. The role will include many activities ranging from managing a dynamic team and the day-to-day implementation of program logistics to creating effective, efficient processes and procedures as VOICE grows in size and scale. Specific management responsibilities include (but are not limited to) program development, strategic planning, coordinating
implementation logistics, systematizing and standardizing VOICE programming across
different regions, creating tools required for the program to scale, and managing staff
activity related to program implementation.

The ideal candidate should have a strong knowledge of the education and social enterprise sector in India and a demonstrated entrepreneurial spirit to bring VOICE and its programs to their capacity for scale. Personal skills include excellent oral and written communication skills, flexibility, ability to multi-task, a positive attitude, and strong work ethic. All VOICE employees from Field Coordinators to the Director must be willing to jump in where needed to help the team deliver on large tasks. Candidates should be comfortable working in a fast-paced environment with tight deadlines.

The Operations Manager will report to the Director and collaborate with the team to develop overall strategic and operational plans to further the execution the VOICE mission. S/he will be expected to be autonomous and self-directed in carrying out the job targets and providing direction for mid and lower level employees.

Key Roles and Responsibilities

Leadership & Management:

• Ensure ongoing local operational excellence, and consistent quality of program implementation; recommend timelines and resources needed to achieve the strategic goals
• Manage Program Officers and City Managers in each VOICE region
• Lead, coach, train, develop, and retain VOICE’s high-performance field
• Ensure effective systems to track scaling progress, project cash flows, partnership
• Plan the use of human resources. Organize recruitment and placement of required staff. Establish organizational structures. Delegate tasks and accountabilities.
Establish work schedules. Supervise staff. Monitor and evaluate performance.
• Monitor quality of all programmes. Create systems and processes to monitor programming on a day to day basis.
• Ensure programmatic improvement/processes and procedures and operationalize how to bridge gaps based on various reports, including impact assessment reports and any internal or external audits.
• Manage/oversee high level partnerships. Meet with partner representatives for preliminary meetings as well as budget negotiations.
• Oversee promotion, and delivery of programs, products and services on the ground.

Implementation and Logistics

• Standardize the implementation of VOICE programming across different regions.
• Streamline logistics and create workflows to delineate different roles and
• Problem solve and trouble shoot issues around programme implementation for VOICE programming.
• Create procedural guidelines and rules and regulations for camp staff and VOICE staff when on location. Create a system of checks and balances to ensure that these are followed for different types of programming and a diverse group of partners.
• Develop quality standards and generate reports that evaluate quality of all VOICE
programs, locations, and staff and makes recommendations for improvement.
• Ensure quality standards and targets are met.

Minimum Criteria for Candidates

Advanced degree/PG/MBA in social sciences, development, economics, or other relevant field

• Minimum of 5 years prior experience and at least 2 years in a management role with direct experience in organizational effectiveness and operations management including direct supervision of multiple levels of staff and volunteers

Strong English written and verbal communication skills; a persuasive and passionate
communicator with excellent interpersonal and multidisciplinary project skills
• A track record for building, strengthening and leveraging local partnerships and alliances in order to expand services that address stakeholder needs
• Experience implementing and monitoring programs
• Strong analytical and critical thinking skills around process documentation.
• Financial and budget experience required
• Excellence in organizational management with the ability to train staff, manage, and
develop high-performance teams, set and achieve strategic objectives, and manage
a budget
• Strong computer-related ability, particularly with respect to management
databases, Excel, Word, PowerPoint, and project tracking software

rewarding work
• Ability to work in a collaborative, multi-disciplinary, start-up environment as part of a closely-knit team (demonstrating patience, tenacity and grace under pressure). Comfortable being flexible in an ever-changing start up environment
• A highly organized self-starter; independent and self-directed
• Detail and process oriented, with strong organizational, analytical and problem solving skills
• Knowledge of gender-centered programming, issues pertaining to the development
and education of women and girls, and of the affordable education sector in India
and abroad is a plus
• Hindi and other Indian languages a plus
• Willing to travel

Additional Information:

This position requires extensive travel. VOICE will cover all travel expenses for the employee.
