Job Description

The David and Lucile Packard Foundation (Foundation) is actively recruiting a receptionist to join the Workplace Services team.

Receptionist Position
We are seeking a capable, flexible, and reliable receptionist to handle incoming phone calls, meet and greet visitors and guests, and provide some administrative support as required. This position reports to the Workplace Services Manager. Workplace Services is team oriented and a department that sets high standards for working together well and providing effective back-up for one another. The position requires the desire and ability to operate well in a time structured work environment and the demonstrated ability to be flexible and multitask. The receptionist is the first point of contact for Foundation visitors and callers. The receptionist must be professional, gracious, and courteous. To direct phone calls and visitors to the appropriate individual or program, the position requires the ability to become knowledgeable about the Foundation’s programs and work, as well as the building. This position will include, but not be limited to, the following duties:
• Meets and greets visitors and staff in a professional and gracious manner
• Operates a ShoreTel multiple-call telephone console in a timely, courteous, and accurate manner
• Answers general questions and transfers calls appropriately
• Directs requests in a timely and accurate manner
• Problem solves visitor questions and anticipates needs
• Must be able to prioritize and work to completion
• Accurately performs administrative duties, such as data entry, expense and/or invoice processing, scheduling meetings, routing requests, and running reports as required
• Maintains professional, helpful, and positive working relations with others
• Keeps the reception area neat and ready for guests
• Maintains a service request database, accurately assigning tasks to the appropriate service provider
• Special projects as assigned

Knowledge, Skills, and Abilities
• Ability to work independently and on a team, manage time efficiently, handle and prioritize multiple tasks, and meet timelines
• Candidate must be personable, reliable, and able to take initiative when necessary
• Excellent oral communication and customer service skills required
• Must be able to maintain a calm and confident demeanor under pressure
• Ability to use excellent judgment, be flexible, and maintain confidentiality as needed
• Must have attention to detail and ability to anticipate work as situations develop
• Strong ability to interact with all in a professional, helpful, courteous, culturally sensitive, and tactful manner
• Must have administrative skills and the position requires a working knowledge of Outlook, Word, Excel, PowerPoint, the Internet and the skill and desire to learn new systems and databases
• Interest in the programmatic work of the Foundation desired

Physical Requirements
Candidate must have the ability to communicate via voice telephone, read and understand written communication, and generate written communication manually and using a computer. Candidate must also be able to work at a desk for long periods of time (2-3 hours), lift and move documents and supplies (not to exceed 25 lbs.), and bend to file or retrieve documents.

Education and Experience
High School graduate with some college education is preferred with a minimum of two years of related work experience

The Foundation offers an excellent benefits package and a salary that is commensurate with related work experience. This position is full-time and nonexempt.
