Full-Time Personal Executive Assistant

Job Description

This is a full-time hybrid role for a Personal Assistant to the Chief Executive Officer located in downtown Chicago, IL. The Personal Assistant will work with strategic supervision and be responsible for providing executive administrative assistance, personal assistance, and administrative office assistance to the CEO.

What You Will Do

Support CEO by developing a deep understanding of Vega’s business priorities and initiatives and working with precision, speed, and good judgment to support the CEO.

  • Performs special projects to support the CEO and the business as assigned or proactively performed
  • Assists CEO with maintaining and improving internal systems
  • Track CEO external relationships in CRM
  • Research meeting attendees and prepare briefs for CEO, as needed
  • Prepare and edit reports and presentations, ensuring all conform to Firm standard formats
  • Coordination of internal and external meetings, conference calls, and travel arrangements
  • Organize internal and client-facing events including appreciation functions
  • Work with CEO to manage CEO’s professional social media
  • Help prepare for internal and external meetings and record notes and minutes from meetings
  • Create and organize information and generate reference tools for easy use
  • Handle telephone calls, messages, and other correspondence professionally and courteously
  • Manage general office duties, equipment, supplies, and serve as point of contact for related vendors
  • Advanced technical skills with Outlook, Word, Excel, and PowerPoint

What We are Looking For

  • 5+ years experience providing executive support to C-Suite (or equivalent)
  • Demonstrable ability to deliver high quality professional hospitality with poise and resilience
  • Ability to handle confidential and sensitive information with discretion and diplomacy
  • Ability to work independently and proactively with strategic supervision
  • Strong problem-solving and project management skills with sharp attention to detail
  • Strong critical thinking and analytical skills
  • Ability to set-up and manage IT and AV-related systems and applications and lift up to 40 pounds

The estimated starting salary is $40,000 and is a good faith estimate that Vega reasonably expects to pay for this job at the time of the job posting. The actual salary paid to an individual will vary based on multiple factors, including but not limited to specific skills, years of experience, and market changes. This job is eligible to participate in Vega’s commission and bonus programs.
